The Review & Approve feature allows authorized staff to review notes and apply an electronic signature. This helps ensure documentation is verified, complete, and ready for compliance review.

Overview

With this feature, facilities can:

  • Review notes for accuracy and completeness
  • Approve notes with an electronic signature
  • Maintain a clear record of who reviewed and approved documentation
  • Allow multiple reviews and approvals on a single note

Approved notes will display and print with:

  • Staff Name
  • Title
  • Date and Time
  • Electronically Signed indicator

Permissions Required

This is a permission-based feature.

Users must have one or both of the following permissions:

  • NOTE_REVIEW → allows user to review notes
  • NOTE_APPROVE → allows user to approve notes

Important:

  • Only users with these permissions will see the Review and Approve buttons
  • If a user does not have permission, the feature will not be visible

How to Review a Note

  1. Open a resident record
  2. Navigate to eChart → Notes
  3. Select the note you want to review
  4. Click Review

The system will record:

  • Reviewer name
  • Title
  • Date and time

How to Approve a Note

  1. Open the note
  2. Click Approve

The system will apply an electronic signature including:

  • Staff name
  • Title
  • Date and time
  • Electronically Signed label

Multiple Reviews and Approvals

  • A note can have multiple reviews and approvals
  • Each action is recorded with the user’s information and timestamp
  • This provides a complete audit trail of who interacted with the note

How It Displays

On the note screen, you will see:

  • Review entries
  • Approval entries
  • Signature details

Each entry will include:

  • Name
  • Title
  • Date and time
  • Electronically Signed status (for approvals)

Notes with Review and Approval signatures can be printed from the Reports section.

To Print Notes:

  1. From the Facility Dashboard, go to Reports
  2. Select Resident Notes
  3. Choose:
    • Resident (select one or all)
    • Category (select one or all)
    • Date Range (if needed)
  4. Click Generate Report

The system will generate a PDF report that includes:

  • Note content
  • Review entries
  • Approval entries
  • Staff name and title
  • Date and time
  • Electronically Signed indicator
  1. Use the PDF options to:
    • Print
    • Download
    • Email

  • Use Review for supervisory or quality checks
  • Use Approve for final sign-off
  • Ensure appropriate staff are assigned permissions
