You can easily generate and print Resident Notes report from the Facility Dashboard.


Accessing the Resident Notes Report

  1. From the Facility Dashboard, locate and click on the Report icon above the Resident Notes section
  2. On the Reports screen:
    • Click Select a report
    • Choose Resident Notes from the dropdown

Understanding the Default View

  • The report will automatically display notes for:
    • All residents
    • Default date range: First day of the current month through today

Printing Notes for All Residents

If you want to print notes for all residents:

  1. Leave the default filters as-is (or adjust if needed)
  2. Click EXPORT
  3. A PDF file will download
  4. Open the file and print as needed

Printing Notes for a Specific Resident

  1. Use the Filter field
  2. Begin typing the resident’s name
    • Matching names will appear after a few characters
  3. Select the desired resident

Optional:

  • You can choose to include the resident’s diagnosis list at the top of the report

Using Additional Filters

You can refine your report using:

  • Date Range → Select a custom time period
  • Category → Filter by specific note categories
  • Author (Staff) → Filter by staff member who created the note

Once your filters are set:

  • Click EXPORT to generate the PDF

Important: Large Report Limits

  • The system uses your browser (ISP) memory to generate reports
  • If too many records are selected, the report may fail with a timeout error

Best Practice:

  • If your report includes more than ~30 notes, break it into smaller ranges
    • Example: Print weekly reports instead of a full month
    • Avoid running reports with 100+ notes at once

Notes About Categories

  • Each note is assigned a category
  • When creating Note Templates, use consistent categories

Why this matters:

  • Makes it easier to filter and print reports
  • Avoid creating too many similar categories (this makes reporting harder)

Finding Your Downloaded Report

On Desktop (Chrome):

  1. Click the three dots (top right corner)
  2. Select Downloads
  3. Open your downloaded PDF

General Locations:

  • Computer: Downloads folder
  • Phone/Tablet: Files or Downloads folder

Tips

  • Keep date ranges small for faster results
  • Use consistent categories for better reporting
  • Filter by resident when possible to reduce report size
